Meeting Schedule Sheet

Plan your meetings date by date. Choose the From and To dates, add a row for each meeting with its start and end time, topic and the Google Meet, Microsoft Teams or Zoom link, and download a tidy PDF. Meetings are grouped by day, links are clickable, and two meetings that overlap are flagged for you.

How do I add the meetings for several days quickly?

Choose the From date and the To date, then press "Add a row for every day". You get one row for each day (you can skip Sundays), and you only fill in the times and topics. Rows you have already filled in are kept. You can add more than one meeting on the same day with "Add another meeting".

Where do I put the Google Meet or Teams link?

Choose the platform in "Meeting on" and paste the link in the next box. In the PDF the link is clickable, so anyone can open the PDF on a phone or laptop and tap it to join. For a phone call put the number, and for an in-person meeting put the room or the address.

What if two meetings overlap?

The sheet checks the meetings of the same day that have a start and an end time. If two of them overlap, both are marked "Clashes with" in red and the summary at the top counts the clashes, so you can fix the plan before sending it.

Do I have to enter the time?

No. A meeting needs only a date and a topic. If you leave the time empty it is shown as an all-day item. For the total meeting time and the clash check, both the start and the end time are needed.

Can I send this to the team?

Yes. Download the PDF and share it on WhatsApp, email or Teams. Because the links are clickable inside the PDF, the team can join straight from the sheet.

Is my information stored?

No. The details are used only to draw the PDF and are not saved on our server. A copy of the form stays in your own browser so you do not lose it if you refresh the page.
